Our goal is to make the process of requesting reservations and checking or updating those requests as simple as possible. A basic overview of the Fleet Service's on-line vehicle reservation process is listed below. Just follow these three easy steps:
Step 1
Submit Request
Step 1First, complete and submit the on-line new request/Make Reservation form. Your reservation request is given the status of 'Pending' and you are assigned a reservation request ID. You will receive an email notifying you of your reservation request.
Step 2
Receive Confirmation
Step 2Next, your reservation request will be processed automatically by the FleetCommander Software. If you receive a pop up saying that your request cannot be filled, CLICK "YES" to submit the request for manual processing by Facilities/Fleet Service Staff.  All attempts will be made to fulfill your reservation request. If the request can be fulfilled, then the reservation request is given the status of 'Approved'. You will receive an email notifying you of your reservation approval.
At any time, my schedule may be used to view the status of your reservation request(s) on-line. Additionally, you may cancel or request changes to your reservation request(s) under my schedule (click on view finder by reservation then "Request Changes" at bottom).  TO ADD PASSENGER LIST: go to my schedule click on view finder by reservation, click "Add Notes", enter passengers, and submit.
Note: If your reservation request is 'Rejected' or 'Cancelled' then you will receive an explanation with your email response indicating the reason.
Step 3
Pick-up Vehicle
Step 3Finally, pick-up your vehicle at the Facilities and Security building up to 15 minutes prior to your scheduled start time.  Keys for the vehicle can be picked up and dropped off from the automated KeyLocker system located in the west entrance vestibule of the Facilities and Security building. The KeyLocker is accessible 24-hours a day. You will need your user name and password to access the keys.  The vehicles are across the street in the Facilities and Security west parking lot. Be sure to review the policies (if you are not familiar with them) and the current vehicles and rates. Vehicle Reservation RequestAfter the vehicle is returned, put the fuel receipt in the blue box to the left of the key box and please provide us with feedback on your experience with Fleet Services.
